Visitors and Guests
Providence Hall welcome visitors and guests at Providence Hall for the types of visits listed below without becoming approved volunteers.
All visitors and guests must properly check in at the front office and receive a visitor/guest badge if the visit is during school days/hours.
to attend a special school one-time event as an attendee when sitting in a group audience as a spectator or when in a group that is visiting booths/displays at a large scale event, such as an awards ceremony, assembly, play, presentation, sports game, BizTown, science/health fair, etc. (this does not apply to chaperones or those who are helping or assisting with the event)
to attend school to eat lunch with their student as parents/guardians (or family members who are listed in Skyward or with permission from a parent/guardian) when sitting in the general school cafeteria group setting
to be a guest speaker or presenter at the school for educational purposes to a group of students when the students are supervised by their Providence Hall teacher or other Providence Hall employee who is designated to supervise the group of students
Guests and visitors cannot have any unsupervised exposure or contact with students at any time during their visit, which means that they must be in the direct line of sight of a Providence Hall employee at all times. Any guest or visitor who violates this requirement will be asked to leave and may lose their privilege of returning as a visitor or guest in the future at Providence Hall.
Additionally, those listed below do not need to become approved volunteers:
those who come into the front office area to conduct brief school-related business and are in the presence of a Providence Hall employee at all times
those who come for brief school-related business meetings and are in the presence of a Providence Hall employee at all times
Volunteers
The examples below are some, but not all, of the activities that require you to follow the volunteer process on this page to become an approved Providence Hall volunteer before participating in them.
attending a special school one-time event where you will not be sitting in a group audience as a spectator or you will not be in a group that is visiting booths/displays at a large scale event, such as coming to your student's classroom party or visiting your student's classroom
helping or assisting with a special school event, such as an awards ceremony, assembly, play, presentation, sports, BizTown, science/health fair, etc.
helping in a classroom, the front office, lunchroom, the library, other area of the school, etc.
helping with/chaperoning a field trip or attending a field trip where you will be assigned to a group of students whether or not you are assigned the group with another person
riding in a Providence Hall bus or in a Providence vehicle with students
chaperoning an event or dance
assisting or helping in athletics practices/camps/games, clubs, music/drama events, etc.

Please plan ahead of when you want to volunteer, as if you need the fingerprinting/background check then it can take a couple of weeks or sometimes even longer to finish the process depending on the time of the year.
Providence Hall has established procedures that adhere to Utah state law requiring screening prospective volunteers (See Background Checks Policy).
Once you begin the process with Step 1 below, you will receive emails of your progress through the steps,
ending with an email letting you know when you are an approved volunteer for the school year.

You DO NOT need to complete this form if you are:
a current Providence Hall student.
a current Providence Hall employee.
You DO need to complete this form if you are:
over the age of 18, are not a current Providence Hall employee and want to volunteer in any capacity at Providence Hall
under the age of 18, are not a current Providence Hall student and want to volunteer in any capacity at Providence Hall (help with sports, help out in a classroom, etc.)
You must complete/submit this Google form
to begin the process if you are a new volunteer, and
then again every school year after that
to renew your volunteer status each school year.

to complete & submit the Google form.
The Annual School Year Volunteer Preferences & Agreements Google Form is the one thing you have to complete every school year to renew your volunteer status even after having your fingerprints/background check completed.
At the end of each school year all volunteers are removed from the approved list, which means you are no longer an approved volunteer at the end of each school year.
To renew your volunteer status each school year, come back to this page and look under the big red “Start Here” for the new school year’s Annual School Year Volunteer Preferences & Agreements Google Form.
After completing the Annual School Year Volunteer Preferences & Agreements Google Form for the new school year you will receive email confirmation letting you know your volunteer status has been renewed.
STEP 2
BACKGROUND CLEARANCE
(FINGERPRINTING)
IN BCI SYSTEM
WITH RAP BACK SERVICE
LINKED TO PROVIDENCE HALL
To be an approved volunteer, anyone over the age of 18
must have a clear background check that is in the
BCI system with rap back service (ongoing monitoring)
linked to Providence Hall.
For those under the age of 18, fingerprinting
is not required until they turn 18 years old.

If you need to do this step, you will be emailed
directions on how to schedule an appointment
to be fingerprinted at Providence Hall after
you submit the Google form in Step 1.
Fingerprint appointments are scheduled for only
one day a week and only during school hours,
so plan well ahead of when you need to volunteer!
Do not go somewhere else to get fingerprinted or
pay for a copy of your background report
or fingerprint cards, as none of that will work!
You have to be fingerprinted with Providence Hall even if you have been fingerprinted/have a background clearance for another organization because that is the only way for Providence Hall to have rap back service (ongoing monitoring) of your background through BCI.
Your fingerprints/background check you complete with Providence Hall are only linked to and monitored by Providence Hall, which means if you need to be fingerprinted/get a background check by another organization you will need to do that with them.
You only need to be fingerprinted one time as a Providence Hall volunteer. We will keep your Providence Hall fingerprints/background active unless you notify us to release them. That way if you take a break from volunteering with Providence Hall, but then come back you will still be good to go as far as your fingerprints/background.
The typical process time for processing fingerprints/backgrounds once they are sent electronically to BCI is a full 7-10 business days, but can be shorter or longer depending on your individual background circumstances and how many background checks BCI is processing at the time. Providence Hall has no control over the processing time of your fingerprints/background once they are sent electronically to BCI. You will receive an email once your background has been processed by BCI and been released to Providence Hall. Until you receive that email, you are not an approved Providence Hall volunteer.
